Full Time, Day Shift
You Will Be Responsible For:
Provides secretarial and clerical support for the Director and Department Managers. Prepares (or authors) correspondence for appropriate signatures.
Keeps track of the schedule – Master calendar – makes and reminds people of appointments. Responsible for all incoming and outgoing correspondence, ensuring appropriate follow-up.
Coordinates sets-up and confirms meetings as required. Schedules meetings as requested, ensuring all individuals are notified and locations are reserved. Plans, organizes, facilitates and or participates in all meetings.
Gathers information for payroll purposes – any issues and make sure proper paperwork and signed reports are submitted in a timely manner. Maintains and updates personnel files and records. Controls all policies, manuals, office supplies, records and reports.
Provides reception support. Answers the telephone promptly and in a courteous manner and offers assistance wherever possible. Handles several telephone calls at once, ensuring callers are not left holding on the line for an extended period of time. This position greets and directs the public to the proper person or department and acts as the first line of defense on incoming calls and correspondence. Reads and distributes all incoming mail and determines action to be taken. Composes correspondence, memos and all minutes from any meetings, and provides brief instructions for all departments. Investigates and responds to complaints – acts as department liaison.
Inputs Work Order data into the computer accurately. Extracts work Order data from the computer as needed. Performs varied computer duties.
Prepares Purchase Orders and maintains statistical and reporting information. Assures appropriate procedures, policies and practices are in place for payment of Purchase Orders by Accounts Payable and for meeting the requirements of the Comptrollers office.
Assists with the preparation of the Annual Budget. Monitors and reviews monthly reports and makes recommendations to improve cost-effectiveness within the departments. Reviews daily time records on a monthly basis to determine hours spent for services outside department for appropriate billing of those areas. Maintains current and accurate departmental records.
Maintains knowledge of hospital policies and procedures required in the Department and the hospital. Updates appropriate policies and procedures and maintains a current policy and procedure manual ensuring adherence to same.
What You Will Need:
KNOWLEDGE AND SKILLS REQUIRED:
Should have strong organizational skills, and strong knowledge of office procedures.
Good communication skills and great attention to detail are required.
Must be computer literate with skill in the use of spreadsheets, proficient in Word, Excel, and PowerPoint, and the ability to function with minimal supervision.
Must be able to manage multiple projects, and adapt to changing priorities.
EDUCATION AND EXPERIENCE REQUIRED:
Individual must have a High School Diploma. AA degree preferred.
At least three years increasingly responsible administrative experience as a secretary with related job description duties.
Under the direction of the department Director, is responsible for providing secretarial support and assistance. To maintain a good public relationship with staff and other department members and to be able to work independently without constant supervision. This position requires the knowledge of Policies and Procedures.
