This Senior Administrative Assistant is responsible for administratively supporting high level senior leadership in the Fairview Corporate Services Building. The position will manage the entrance of the office building and provide clerical support to the senior executive team. This role will interact daily with the senior executives, senior executive assistants, as well as leaders across the organization and community. The individual must deliver a high caliber of customer service to staff and visitors. They must build and maintain positive relationships with internal and external customers of the department and must retain a high level of confidentiality.
The hours worked will be Monday Friday, from 8:00 AM to 4:30 PM, in the Corporate Services Building on the Fairview Riverside Campus.
Provides excellent customer service to all visitors, guests, and staff of the department
Greets, acknowledges, and directs all people who visit the office
Appropriately answers, screens, routes, and responds to incoming telephone calls
Properly aid people with employee or patient complaints, and route to necessary departments for response
Maintains corporate conference rooms, touchdown spaces, breakroom and kitchen
Ownership of MS Outlook corporate conference room calendars and mail inboxes
Assist staff across the organization with conference room requests
Provide technological support for conference room use (i.e. computers, A/V, poly-com phones)
Tracks office inventory, orders necessary supplies, organizes work rooms
Track inventory needs for kitchen, breakroom and work rooms
Utilize internal software for ordering necessary supplies
Assist department with ordering computers, printers, and other technological needs
Monthly reconciliation of FV purchasing card and prepares invoices for payment
Light mail duties, open and route mail items
Communicate effectively with maintenance department, parking office, environmental services crew, and onsite security team regarding department needs
Assists senior executive leaders and assistants with special projects
Aid EA team with catering orders, meeting scheduling and material preparation, travel arrangements, same day mail requests (i.e. FedEX, UPS, and courier items)
Provide support with word processing needs in MS Word, MS PowerPoint, MS Excel, and Visio
Assist other staff as needed to ensure no gaps in service to leadership team.
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
3 years of administrative experience
Associates or Bachelors degree
3+ years of supporting/assisting senior level executive (SVP & up).
