The Administrative Assistant I performs a broad range of secretarial functions necessary to support the Plant Operations department. With minimal supervision under the direction of the Executive Director of Facility & Supply Services in the coordination of multiple processes and special projects / tasks related to overall constructions, safety, and disaster management. Specifically, responsibilities also include accreditation and regulatory compliance for Joint Commission (JCAHO), Titles 3, 8, 17, 22, and other regulatory agencies as applicable.
Essential Functions and Responsibilities of the Job
Organizes construction projects in accordance with the schedule of Executive Director of Facilities & Supply Services to efficiently accomplish project goals by specified timelines.
Coordinates and implements Interim Life Safety Assessment documents to ensure safety of patients, visitors, and staff who work in the hospital and other campus locations.
Utilizes Excel worksheets to effectively manage construction data relating to various projects.
Gathers pertinent information from interviews, surveillance relating to conduction planning to effectively manage various construction planning projects.
Organizes data for regulatory inspections to ensure compliance.
Assists with preparing documents required for follow-up (i.e. OSHPD, Fire Marshall, etc.)
Actively participates in the following committees: Construction VAT and Wayfinding Committee.
Manages Electric Vehicle Charge Cards for hospital employees including Physicians and Staff.
Conducts walkthroughs with vendors to establish positive business relationships.
Manages AMAG badge access system for hospital employees, granting access based on job role and responsibility.
