Welcome on-site visitors, assuring that they sign in, determine nature of business, and announce them to appropriate personnel. Direct general APHA calls, emails, access APHA comment file e-mails and faxes rerouting these communications to the appropriate department staff members in an accurate and timely manner. Answers incoming telephone calls, determines purpose of callers, and forward callers to appropriate personnel or unit. Retrieves messages from voice mail and forward to appropriate personnel. Assist couriers with pick-ups and deliveries recording all incoming parcels. Maintain Federal Express electronic account and Assist staff with preparation of packages. Open incoming checks and prepare checks log for submission to Accounting in the absence of Office Assistant. Monitor visitor access. Monitor lobbies, loading dock, and warns violators of rule infractions, such as loitering, smoking, and to guard against theft of company property. Reports irregularities such as fire hazards and security doors left unlocked. Sounds internal alarm or calls police or fire department in case of fire or presence of unauthorized persons. Responsible for conference center and booking and updating conference room calendar. Serves as Floor Captain for the First Floor in an emergency. Creates memos, correspondence, reports and other documents when necessary. Access IMIS to assist members with basic information and update addresses. Perform other duties as assigned based on needs of the department and the Association.
High school graduate with proven work experience as a receptionist. Three years of receptionist experience on multi-line telephone system; additional certification in Office Management is a plus. Technology savvy with proficiency in Microsoft Office Suite and other windows related software applications. Professional attitude and appearance. Must have excellent customer service, communications (oral and written), interpersonal and organizational skills. Attention to details and time management skills along with the ability to be resourceful and proactive when issues arise. Ability to work well independently and in team settings. Must be able to travel and work occasional weekends to attend events and other off-site functions when applicable. Requires occasional lifting and moving up to 25 lbs.

Position is based in downtown DC near several metro stations. Hours: 35 hours a week, full-time, Mon- Fri. (daytime). Number of openings: 1.
