The MemorialCare Saddleback Medical Center Foundation is seeking a dynamic Foundation Program Assistant to provide administrative support and serve as the receptionist for the organization. The successful candidate will have a proven track record of excellent administrative support work, attention to detail and the ability to prioritize and thoroughly execute tasks assigned with precision. Excellent written and oral communication skills are a must.
Essential Functions and Responsibilities of the Job
Serve as a welcoming receptionist for the Foundation, answering phone lines and greeting donors and guests with warmth; answer questions and direct callers to the appropriate Foundation staff member.
Track and order Foundation office supplies, postage, community guest passes, professional memberships and journal subscriptions
Serve as liaison for building services, IT requests and catering.
Provide administrative support for the director, gift planning and the executive director, finance, to include duties such as Raiser’s Edge data entry, merging and mailing letters, obtaining criteria-based lists, providing accounts payable support, journal entries and other tasks as assigned.
Willingness to learn software to create donor proposals and collateral as needed – training provided.
Ability to interact with outside vendors, as needed, to support the director, gift planning, in the execution and administration of the gift planning marketing plan.
Provide general support as requested by the Foundation president, for mailings, special events and other projects of the Foundation.
Ability to be at work and be on time.
Ability to follow company policies, procedures and directives.
Ability to interact in a positive and constructive manner.

Phone lines are answered and guests are welcomed with warmth and professionalism; their questions are answered and they are directed to the appropriate Foundation staff member.
Foundation office supplies, postage, community guest passes, professional memberships and journal subscriptions are tracked correctly and ordered in a timely fashion.
Requests for building services, IT needs and catering needs are handled professionally and thoroughly. Other departments enjoy their interactions with our Foundation.

After training on donor proposal software, donor proposals and collateral are produced accurately and on a timely basis when requested.
In working with outside vendors on the gift planning marketing program, updates are communicated clearly and on a timely basis while meeting any applicable deadlines.
General support as requested by the Foundation president is provided for general mailings, special events, order pickups and other projects of the Foundation.
