The role you’ll contribute:
The Office Assistant coordinates receipt of referrals within the agency by conducting an initial phone evaluation for appropriateness of and acceptance of the referral for home health services. The coordinator will collect patient clinical and demographic data, insurance or payer information, verify payer coverage, obtain physician orders and arrange for support services. Written orders for homecare will be obtained when possible. An RN will be requested to take verbal orders for homecare services when needed.
Oversees the secretarial staff within the agency to assure accurate data entry, phones are answered appropriately, management of the clinical records, provision of clinical records when requested, assure appropriate staff coverage.

- Coordinates the intake of all referrals into the agency. Serves as the central coordination point for all referrals coming from hospitals, physician offices and any other referral source.
- Verifies that physicians ordering homecare are licensed and able to participate in the Medicare program.
- Performs care coordination activities upon receipt of patient referral; assesses if homecare services are appropriate, verify/obtain physician orders, ensure payer coverage is verified, coordinates arrangements for HME, infusion and other needs.
- Assures referrals have been entered or enters referrals into the computer, verifies that required information is present prior to admission; maintains accurate reference files such as physicians, payers, and referral source information.
- Performs and documents payer verification process; verifies Medicare eligibility coverage and insurance or self pay verification for patients prior to admission; follows policy for charity approval process.
- Functions as liaison between clinicians in facilities and clinical teams to ensure patients are scheduled in a timely manner and the location/status of all patient referrals is tracked.
- Maintains logs as needed for patients who are hospitalized or in skilled facility, new and resumption of care referrals, etc.)
- Liaison with the central billing office to troubleshoot billing issues and assure necessary items are completed to facilitate timely billing.
- Monitor and supervise the daily clerical operations of the home health office and assures duties are performed within established guidelines in accurate and timely manner.
- Assigns/delegates responsibility to appropriate staff; participates in interview, orientation, clerical evaluations on a timely basis.
- Participates in clerical staff meetings; oversees management of patient file storage, retrieval and destruction; demonstrates ability to problem solve and make recommendations for efficient process flows..
QualificationsThe expertise and experiences you’ll need to succeed:
• High school graduate or equivalent required
• Minimum 5 years of home health billing or office experience required
• Knowledge of medical terminology and the home health referral process required
