JOB SUMMARY
We are seeking a Program Specialist (PS) for the Duke Health Integrated Practice (DHIP) Advanced Practice Center located in Durham, NCto play a crucial role in providing the highest level of administrative support to the Associate Vice President (AVP) of Advanced Practice, the Director(s) of Advanced Practice and other executives within the organization as needed. The PS will serve as the primary point of contact for the Advanced Practice Center, acting as the face of the department, and will be responsible for solving problems and providing solutions. The person in this role will help develop, coordinate and advise on policies related to regulatory and compliance aspects of Advanced Practice. The position will be split approximately 30% administrative duties for the leadership team, and 70% on resolving complex administrative problems and managing projects for the Advanced Practice Center. This role is fast-paced, service and detail oriented, and offers a high degree of variety in responsibilities.
JOB DUTIES AND RESPONSIBILITIES
Plan, coordinate and participate in the implementation of activities including, but not limited to, seminars, conferences, workshops, short courses, clubs, shows, public events and other related programs. Develop and coordinate new ideas and concepts for program themes. Coordinate all program logistics, materials and resources.
Provide administrative assistance to departmental staff within assigned areas to support the accomplishment of program objectives. Develop, coordinate and advise staff regarding relevant policy.
KEY RESPONSIBILITIES:
Administrative Support: Provide comprehensive administrative support to the AVP of Advanced Practice, Director of Advanced Practice and other executives, including but not limited to managing calendars, scheduling meetings, making travel arrangements, preparing documents and reports, and handling correspondence.
Project Management: Take ownership of various projects within the Advanced Practice Center, ensuring their successful execution. Projects may include provider credentialing enrollment, Advanced Practice Provider (APP) orientation, Grand Rounds coordination, CME Maintenance and Application submission, NC Dave System Enrollment, Third Party Payor Billing Enrollment, Student Practicum Placement, Tuition Reimbursement Program Records, APP Website Development and Maintenance, and other initiatives as assigned.
Problem Resolution: Act as a resource for ambulatory advanced practice providers, addressing and resolving complex administrative issues promptly and effectively, and referring clinical issues to the appropriate responsible parties. Provide innovative solutions and ensure follow-up actions are taken to prevent future problems.
Communication and Coordination: Serve as a liaison between the Advanced Practice Center and other departments, department leaders, or external stakeholders. Facilitate highly professional effective communication and coordination to ensure smooth operations and collaboration.
Compliance and Clinical Requirements: Develop a thorough understanding of the legal, regulatory, compliance, and clinical requirements pertaining to Advanced Practice Providers and their Supervising Physicians. Stay updated on industry trends and changes to ensure adherence to best practices.
Perform other related duties incidental to the work described herein.
JOB ELIGIBILITY REQUIREMENTS
Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program with one year of experience in program administration or event production.
OR two years of postsecondary education with three years of experience in program administration or event production.
OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
JOB HOURS
The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
